The Clubward Promise · Our approach to AI
People First.
Privacy Always.
Not everything needs AI. Not every decision should be automated. And not every piece of your data should be accessible to a machine.
This is an extension of our wider promise to your community: security, stability, reliability and thoughtful partnership. Those responsibilities guide where we draw the line with AI, too.
Our AI commitmentsBuilt to serve people
A technology company.
A human responsibility.
Clubward is not an AI platform or an AI-first company. We’re a human-led software company with a straightforward purpose: help clubs and community organizations run well and give their people more time for what matters.
We recognize the possibilities of AI. We also question the rush to give it access to more systems, more decisions and more information before the consequences are understood.
Who can access that information? Where does it go? How long is it retained? Who takes responsibility when something goes wrong?
Those questions belong before the integration.

A personal foundation
Security matters.
Because people matter.
Our founder, Katelyn Pauley, is a software engineer, security-conscious technology professional and United States Marine Corps veteran who served as an Avionics Cryptographic Systems and Electronic Countermeasures Specialist.
That background shapes how she thinks about access, exposure, trust and risk. Information has value. Permissions need boundaries. Convenience deserves scrutiny.
Security belongs in the decisions we make before we build.
That perspective is part of Clubward’s foundation. The people who depend on our systems deserve care, considered engineering and someone willing to ask the difficult questions.
Our AI commitments to you
A promise should
mean something.
These are the standards we hold ourselves to as we build, evaluate tools and support your community.
Eight commitments. Open any to read more.
Read our AI use policyHumans lead. Technology assists.People remain responsible for the decisions that matter.
Good tools can give people more time, useful context and a clearer view of their work. They cannot take away the responsibility that comes with building software or caring for a community.
Our standard is meaningful human oversight, with the context and authority to question, change or reject AI-assisted work. Engineers, support professionals and the people running your club remain accountable for their decisions.
AI may assist. Humans remain accountable.
Your data is not an experiment.Your information is entrusted to us for a purpose: helping you run your organization.
Membership records, financial details and operational information represent people who trust your organization. That trust deserves more care than a convenient shortcut or an interesting experiment.
Any proposed AI use involving customer information must be evaluated for necessity, privacy, security and appropriate authorization. Our policy is that customer data must not be used to train AI models; provider terms and configuration need to support that standard.
Your trust is not a testing environment.
AI access must have boundaries.Access should be deliberate, limited and justified.
The right to help with one task is not permission to see everything. Our approach favors the minimum information and narrowly scoped permissions needed for a defined purpose.
That standard applies to employees, integrations, automated systems and AI. When a task does not need sensitive information, it should not receive it. When an AI integration is unnecessary, we would rather leave it out.
Necessity should determine access.
Transparency is not optional. You deserve a clear explanation of how AI is involved.
You should not have to hunt through legal language to understand what happens to your information. Our commitment is to explain relevant AI uses and meaningful changes in plain language.
A useful disclosure identifies the task, information involved, provider, authority, review process and available choices. Processing a request, retaining logs and training a model are different questions. We believe each deserves an answer.
Trust requires honesty, including about our own tools.
Privacy by design. Security by principle.Protection starts with the decisions made before a feature is built.
What information do we actually need? Who should have access? How can we reduce unnecessary exposure? Those questions belong in planning, design and development, throughout the life of a product.
No technology company can honestly promise that security risks will never exist. We commit to taking them seriously, improving safeguards and responding responsibly when issues are identified.
Your security deserves ongoing work.
Human support is worth protecting. There should be a person who can listen and take responsibility.
A difficult day should not end in an endless conversation with a system that cannot understand what is at stake. We believe helpful support begins with listening to the person behind the request.
Automation may help organize information or reduce repetitive work. Our commitment is to preserve meaningful access to human assistance and human accountability. Support availability and response commitments remain those agreed for your service.
Efficiency should give us more room to care.
We will not chase AI for the sake of AI.A useful feature earns its place by helping real people.
We evaluate emerging technology by the problem it solves, the information it needs and the risk it introduces. A trend is not a good enough reason to open another door into your data.
Any AI-assisted capability must have a legitimate purpose, meet our security expectations and offer meaningful value. We would rather take the time to establish appropriate safeguards than rush to add another AI label.
Useful innovation earns its place. Hype does not.
Our principles must evolve with the risks.Accountability includes listening, learning and changing course.
Technology changes. Threats change. Our understanding of the consequences continues to develop. Responsible leadership means continuing to ask difficult questions.
We commit to listening to legitimate concerns, acknowledging mistakes and reconsidering our practices when new evidence demands it. A promise has value when the people behind it are willing to do the work.
Our commitment is to being accountable.
The people behind the information
A record to a computer.
A whole life to someone.
A parent’s contact details. A child’s membership. A family’s payment history. An employee’s personal information. Behind every record is a person whose privacy matters.
Some of those people may never log into Clubward or know our name. We believe we have a responsibility to them, too.
Transparency begins with us
AI With Boundaries.
Your Data. Your Choice.
We believe artificial intelligence should be used thoughtfully, responsibly and never at the expense of your trust.
At Clubward, we recognize the potential of AI, but we don't believe every feature needs it or that every business should be expected to embrace it.
We use AI-assisted tools selectively in our internal operations, development and creative processes, with defined boundaries, human oversight and accountability. Technology may assist our work, but people remain responsible for the decisions we make and the products we deliver.
And when it comes to your organization, we believe you deserve a voice in how AI is involved.
Your workspace, your members and your information are not ours to experiment with. Our approach is to limit AI access, protect sensitive information and give customers meaningful transparency and control over optional AI-powered capabilities.
We believe you should understand what AI does, what information it needs and why it's being used, before you choose whether to enable it.
No unnecessary AI integrations. No unrestricted access to customer data. No replacing human judgment with automated decisions simply because we can.
Because responsible innovation isn't about how much AI we can introduce. It's about knowing when to use it, when to limit it and when to leave it out entirely.
That's the Clubward Promise.
Technology with a human heart
Your community deserves care.
Your trust deserves to be earned.
Thoughtful software. Real people. A commitment to remember why we started building in the first place.
